Facility Specialist Job Description
Under the direction of the Facility Manager the primary function of the Facility Specialist is the planning, scheduling and coordination of the facilities projects, repairs and the creation and maintenance of their records. In addition they will help certify and audit contractors and vendors that provide site services to ensure agreement compliance. They will support all required facility needs in a fast paced DNA synthesis environment. They will support the site’s goals by collecting data for all routine and preventative maintenance on the facility systems and schedule service calls as needed. The ideal candidate would be self-motivated and perform other production duties as required.
Duties and Responsibilities
Plans facilities changes for plant, office, and production equipment layouts, working toward economy of operation, maximum use of facilities and equipment, and compliance with laws and regulations.
Coordinates with architecture/engineering firms in developing design criteria and preparing layout and detail drawings.
Prepares bid sheets and contracts for construction and facilities acquisition.
Coordinate and oversee operations, maintenance, administration, and improvement of properties.
Reviews and estimates design costs including equipment, installation, labor, materials, preparation and other related costs. Inspects construction and installation progress for conformance to established drawings, specifications, and schedules.
Develops criteria and performance specifications required to meet unique operating requirements and building and safety codes.
Facilities Engineers responsible for operational efficiency of mechanical, electrical and plumbing systems in a high-risk or high reliability environment dependent on mission-critical equipment and sensitive operating conditions should be matched to Critical Facilities.
Maintain records of maintenance, operating costs, and special permits issued
Determine and certify the eligibility of prospective vendors
Routinely inspects site to ensure suppliers are meeting contractual agreements
Need to have experience with Project Coordination and Project Management, budgeting and scoping the project
Manage the facility operation through both direct employees and third-party service providers, to ensure that all KPI and SLA are met or exceeded
Provide project management assistance for the Facilities Manager on large-scale renovation projects
Possess a firm knowledge and understanding of facility lease agreements for Twist sites
Provide expertise and define facilities management requirements to meet all company goals and needs
Assesses and monitors facility repairs to ensure cost effectiveness and establishes procedures and schedules for repair and maintenance
Participate in all planning and budgeting associated with facility needs
Supports the Facility Manager in the day-to-day operational management of all aspects of the property to assure maintenance of approved quality standards
Assists the Facility Manager in the preparation and coordination of fire, life safety and other safety programs
Assists the Facility Manager in the preparation and coordination of all maintenance programs relating to interior and exterior conditions and appearance of the properties
Support the Facility Manager to assure full compliance with standards established within contractor and vendor service agreements
Participates in the selection of contract services, vendor negotiation of service agreements
Assist and support the Facility Manager on the day-to-day financial management of the property and maintenance of financial records and files, as needed
Must have strong understanding of facilities management, construction and base building operating systems
Familiar with Lease Agreement contracts and contract negotiating methods
Excellent customer, computer, managerial, verbal and written communication skills, Maintenance Management System (CMMS) preferred
Occasionally lift or move up to 40 pounds
Minimum of 3 years of experience in Facility Maintenance
Minimum of 5 years recent experience in Facility Management
Associates Degree in general business (Experience will be considered in place of formal education)
